Business Letter Basics: Addressing a Problem
How to Begin a Letter (Greeting)
You can use a comma (,) or a colon (:) after a greeting line. Look at the following phrases.
· Dear Personnel Director: or Dear Personnel Director,
· Dear Sir or Madam: (Use this format if you don't know who you are writing to.)
· Dear Dr. / Mr. / Mrs. / Miss / Ms. (add the person’s last name): (Use this format if you know the person’s family name.
· Dear Frank: (Use this format if the person is a close business contact or friend.)
Paragraph 1
a. The Reason for Writing (Topic Sentence)
Here are some suggestions on how to introduce the problem. You may choose another way of introducing it, if you prefer.
· I am writing to draw your attention to an important issue.
· Thank you for organizing the conference, “Finding a Balance: Work and Family”. I am writing to….
· I am writing because, as you are aware, …..
· With reference to our discussion last week, I am writing….
b. Describe the Problem (Supporting Details)
· First, read the article, Finding a Balance: Work and Family. Use the information to think about problems at work. Choose a problem mentioned in the article. Three problems mentioned in the article are:
o dissatisfaction with working hours
o stress because of too much work
o health problems due to work demands
· An example of different problems (not mentioned in the article): employees spend too much time reading and answering personal emails; employees are tired and therefore not productive
o Your idea?
Use your own words to describe the problem. Do not copy-paste sentences from the article.
Paragraph 2
a. Talk about the Goal (Topic Sentence)
For example:
· I believe it is important to increase job satisfaction.
· I think we need to work on reducing stress.
· The goal is to help employees….

b. Suggest Different Options (Supporting Details)
· Look at the article for ideas about solutions. You can use some of these or suggest your own solutions.

Phrases for making suggestions:
· I suggest that we (verb)….
· I propose (verb+ing)…..
· The company could (verb)….
· You might consider (verb+ing)….
· It would be a good idea to (verb)
· Could you possibly (verb)….?
Explain why these solutions would help improve the situation.
Paragraph 3: Closing Remarks / Say Goodbye in a Polite Manner
Phrases for closing remarks:
· Thank you for considering my request/ suggestions.
· I wish to thank you for your time.
· I appreciate your attention to this matter.
I look forward to ...
· your response
· discussing this matter with you in in person.
· hearing from you soon.
· meeting you to make a plan of action together.
Ending a Letter (Signing Off)
